What Deals does
Deals helps your team track opportunities that may become revenue. A lead becomes a deal when the customer has a clear requirement, enough contact details, and a realistic next step such as quotation, site visit, product recommendation, rental confirmation, or sales follow-up.
For an AI webstore or equipment business, Deals gives sales managers visibility over what the AI Agent helped generate and what the team is doing next.
Who should use this feature
Use Deals if you are an owner, sales manager, rental manager, sales representative, branch manager, or account manager responsible for pipeline follow-up.
When to use it
Use Deals when a lead is qualified enough to track as a real opportunity. Do not create a deal for every casual question. Create a deal when there is clear buying, rental, service, or quotation intent.
Before you start
Agree on your deal stages before your team starts using this module.
Simple deal stages may include:
- New Opportunity
- Requirement Confirmed
- Quotation Needed
- Quotation Sent
- Negotiation
- Won
- Lost
- On Hold
Useful deal fields may include:
- customer name
- company name
- product or equipment requested
- estimated value
- expected close date
- deal owner
- source lead or conversation
- quotation status
- next follow-up date
- notes
Step-by-step guide
- Open Deals from the console menu.
- Review new or open deals.
- Open a deal and check the customer requirement.
- Confirm whether the deal has enough information to move forward.
- Add or update the estimated value if your team tracks revenue forecast.
- Set the deal stage based on the current progress.
- Assign a deal owner if it is not already assigned.
- Add the next action, such as call customer, prepare quotation, check stock, confirm delivery, or request technical review.
- Move the deal stage whenever progress changes.
- Close the deal as Won or Lost when the outcome is clear.
What good looks like
A good deal record should show what the customer wants, who owns the follow-up, what stage the opportunity is in, and what must happen next.
Good signs include:
- every active deal has an owner
- each deal has a clear stage
- next action is visible
- quotation status is updated
- estimated value is realistic
- old deals are reviewed instead of forgotten
Example workflow
A lead comes in from a customer asking for a generator rental package for a construction project. The sales team qualifies the requirement, confirms the rental period and site location, then converts the lead into a deal. The deal is placed in Quotation Needed, assigned to a salesperson, and updated after the quotation is sent.
Common problems and what to check
Too many deals are created. Tighten the rule for when a lead becomes a deal. Only qualified enquiries should move into pipeline tracking.
Deals stay in the same stage too long. Add a weekly pipeline review and require the next follow-up date.
Deal value is missing. Decide whether your team should estimate value during qualification or after quotation.
No one owns the deal. Make owner assignment part of the lead-to-deal process.
Won and lost reasons are not tracked. Ask the team to add simple notes when closing deals. This helps improve the AI Agent and sales process later.
Best practices
Keep the pipeline simple at first. Use fewer stages and make sure everyone understands them. Review deals weekly with the sales team. Compare deals with Conversations and Leads to understand which AI enquiries are turning into real opportunities.
Done checklist
